Plan the Workload Behind Inbound Sales Response
An AI-plus-human sales-response service needs a clear picture of incoming work. Count the channels separately before discussing who handles each next step.
When a B2B company evaluates inbound sales-response help, “how many leads?” is only the first question. A phone call, a chat inquiry, and a form submission create different work. Some can move through a standard response and qualification path; others need a real sales rep to interpret the request and decide what happens next. A useful buyer brief separates these categories before asking for a service proposal.
Build a channel-and-handoff worksheet
For each channel—phone, chat, and forms—record expected monthly inquiries, when they arrive, the information already available, and the human decision that may be required. Do not count a person who contacts you in two channels as two unique opportunities without checking your own records. Then mark the inquiries that need a sales conversation, an appointment request, or a different owner. Our rep-boundaries guide helps frame the human role; this worksheet sizes the work behind it.
Only phone calls create inbound voice minutes. Estimate those minutes by multiplying expected calls in each phone category by an observed or assumed duration. Keep SMS as its own estimate. Chat and form activity belong in the service-scope discussion, not in the phone-minute total. That separation avoids presenting a phone subscription allowance as if it priced all human sales work.
Read the phone allowance as one component
Your Sales Team AI's published standard AI Phone Agent subscription is $249 per month with 500 inbound minutes and 500 SMS per billing period. Additional minutes are $0.15 each and additional SMS $0.03 each. That is a phone-service usage reference. It does not, by itself, define the scope or price of the AI-augmented, done-for-you sales-response service or any human staffing arrangement; confirm those details in a proposal.
Illustrative phone component, not a service quote: At 610 inbound minutes and 530 SMS, the phone usage above allowance is 110 minutes ($16.50) and 30 texts ($0.90), for an illustrative phone-service total of $266.40 before other applicable charges. This calculation does not price chat, forms, rep involvement, or an agreed service scope. Actual phone billing follows actual use.
Bring unresolved scope questions forward
Ask who owns each kind of handoff, what information a rep should receive, which hours or channels are proposed, and how exceptions return to your team. Do not infer a staffing level, response-time guarantee, or meeting rate from an article. Bring the worksheet to an inbound-response conversation so the proposed service can be discussed against your actual inquiry mix.
